KALINIX LTD ONLINE SAFETY POLICY

1. Policy statement:
Kalinix is committed to providing a safe online environment for our employees, partners, and customers. Our website and digital channels are essential for our business, and this policy outlines the expected standards of conduct to protect our users and our company reputation. 

2. Scope of policy:
This policy applies to all individuals who interact with Kalinix's website and digital assets, including: 

  • Employees

  • Customers

  • Visitors to the website

3. Online safety objectives:
The policy's objectives are to: 

  • Maintain the confidentiality, integrity, and availability of our data.

  • Protect sensitive information, including proprietary data and personally identifiable information (PII).

  • Minimize the risk of security incidents and ensure a rapid response if they occur.

  • Comply with relevant regulations in Kenya, such as the Computer Misuse and Cybercrimes Act, 2018,

4. Acceptable use:
Users of the Kalinix website and IT systems must adhere to the following acceptable use guidelines: 

  • Responsible internet use: Only access online content for educational purposes or for the duties of your role.

  • Appropriate communication: Refrain from posting content that is abusive, sexist, racist, defamatory, or harassing.

  • Software use: Use only approved and licensed software. Do not download unauthorized apps or programs onto company devices.

  • Promptly report any inappropriate online behavior, concerns, or misuse of technology to the IT manager through the official email: kalinixrecords@gmail.com or Mob.:0725 745 801 

  • Protect copyrighted material: Do not copy or redistribute website content without permission. 

  • Respect company data: Do not attempt to access or misuse any company data you  

       may come across. 

  • Provide Accurate Information:

       Be honest. If filling out forms or providing information to the company, ensure the details are truthful and accurate. 

  • Verify information: Use the website for its intended purpose to learn about products and services, but also conduct your own research from multiple sources to verify information. 

  • Engage Constructively: Provide feedback: Use feedback sections to offer helpful, constructive input that benefits both the company and other users.

  • Be a good digital citizen: If there is a community or forum, contribute positively, avoid spamming, and report any inappropriate content.

  • Mind Your Privacy:

      Use privacy settings: Be aware of and utilize the privacy settings provided on the website to control how your data is used.

       Be cautious with personal information: Only share necessary personal information, and be wary of phishing scams or requests         for sensitive data.

  • Incident response and reporting:

       Help with security: If you discover a security vulnerability, report it responsibly to the company. This helps protect both the               company and other users from potential harm.
       In the event of an online safety incident, users must: 

       (a) Report immediately: Notify the designated online safety lead or IT manager as soon as an incident is detected.

       (b) Act to prevent further harm: In the event of a data breach, act immediately to prevent any further harm from occurring.

       (c) Cooperate with investigation: Fully cooperate with any internal or external investigation.

5. Data protection and privacy:

  • Collection and storage: We will only collect, use, and store personal data in accordance with our privacy policy and relevant data protection laws.

  • Encryption: Data backups and sensitive information transferred over the internet must be encrypted.

  • Privacy settings: All staff must be aware of and use appropriate privacy settings on social media and other accounts to avoid compromising company or client information. 

6. Password and access control:

  • Strong passwords: All users are required to use strong, unique passwords for all company systems.

  • Multi-factor authentication (MFA): MFA must be enabled on all company accounts and devices where possible.

  • No sharing: Passwords or access credentials must never be shared with others.

  • Locking devices: Computers and devices should be locked when not in use to prevent unauthorized access. 

 

8. Policy review:
This policy is a live document and will be reviewed and updated at least annually or as required by new legislation or technological developments.
